Templates can include details such as costs, tasks and required electronic mobile forms. When logging a new job, you can select an existing template to automatically populate the relevant information, then make any necessary changes before saving the job. This helps reduce repetitive data entry and ensures commonly required information is included when logging jobs. This user guide explains how to create, manage and use Log Job Templates within the Back Office system. ## How to create a log job template In order to create a log job template, navigate to the settings area within the left side navigation menu. ![Image 1.png](https://cdn.document360.io/7b0221a4-2cb1-462b-9b01-b03051eb7ca3/Images/Documentation/Image%201%2835%29.png) With the settings area, select ‘Library’ > ‘Job Templates’. ![Image 2.png](https://cdn.document360.io/7b0221a4-2cb1-462b-9b01-b03051eb7ca3/Images/Documentation/Image%202%2829%29.png) ![Image 3.png](https://cdn.document360.io/7b0221a4-2cb1-462b-9b01-b03051eb7ca3/Images/Documentation/Image%203%2827%29.png) Select the green ‘+ add job template’ button. ![Image 4.png](https://cdn.document360.io/7b0221a4-2cb1-462b-9b01-b03051eb7ca3/Images/Documentation/Image%204%2822%29.png) Fill out the details of the log job template (the regularly occurring information to automatically populate when logging a job). ![c1-01-job-template-create-edit-screen-all-six.png](https://cdn.document360.io/7b0221a4-2cb1-462b-9b01-b03051eb7ca3/Images/Documentation/c1-01-job-template-create-edit-screen-all-six.png) There are two mandatory fields which must be filled in (marked with an asterisk), these being ‘Template name’ and ‘Job Type’ Template name refers to a unique label used to identify the template. Job type is a general category for the type of work to be assigned to the job. For example, ‘call out’ or ‘maintenance’. There are also fields to select from a dropdown list. These lists are set within the associated item's settings library area (settings > library) but these can be created while adding a new log job template via the green ‘quick add’ plus (‘+’) icon. ![c1-01-job-template-create-edit-screen-all-six2.png](https://cdn.document360.io/7b0221a4-2cb1-462b-9b01-b03051eb7ca3/Images/Documentation/c1-01-job-template-create-edit-screen-all-six2.png) The ‘Req. Approval’ tick box refers to whether the job will require approval following it’s completion. ![c1-01-job-template-create-edit-screen-all-six3.png](https://cdn.document360.io/7b0221a4-2cb1-462b-9b01-b03051eb7ca3/Images/Documentation/c1-01-job-template-create-edit-screen-all-six3.png) Once the details of the log job template have been filled in, select the ‘Save’ option to log the template within your library. ![c1-01-job-template-create-edit-screen-all-six4.png](https://cdn.document360.io/7b0221a4-2cb1-462b-9b01-b03051eb7ca3/Images/Documentation/c1-01-job-template-create-edit-screen-all-six4.png) Once saved, the log job template will populate within your ‘Job Templates’ library becoming available to select from and apply when logging a new job. ![c1-02-all-six-fields-saved-blank-successfully.png](https://cdn.document360.io/7b0221a4-2cb1-462b-9b01-b03051eb7ca3/Images/Documentation/c1-02-all-six-fields-saved-blank-successfully.png) Further details can then be added to the job template such as costs, tasks and electronic job forms. ![Image 10.png](https://cdn.document360.io/7b0221a4-2cb1-462b-9b01-b03051eb7ca3/Images/Documentation/Image%2010%2810%29.png) ## Adding further details to a log job template ## Costs In order to add costs to a log job template, select the costs tab of the applicable log job template and select the green plus icon (+) against the cost line type to be added. ![Image 21.png](https://cdn.document360.io/7b0221a4-2cb1-462b-9b01-b03051eb7ca3/Images/Documentation/Image%2021%282%29.png) ![Image 22.png](https://cdn.document360.io/7b0221a4-2cb1-462b-9b01-b03051eb7ca3/Images/Documentation/Image%2022%283%29.png) Enter the applicable details of the cost line and select ‘Save’. ![Image 23.png](https://cdn.document360.io/7b0221a4-2cb1-462b-9b01-b03051eb7ca3/Images/Documentation/Image%2023%281%29.png) The cost details will then be added to the log job template. ![Image 24.PNG](https://cdn.document360.io/7b0221a4-2cb1-462b-9b01-b03051eb7ca3/Images/Documentation/Image%2024%281%29.PNG) A selling rate, quoted value and/or schedule of rates can also be added via the applicable edit and toggle buttons. Please note that if a selling rate is set against the log job template that this selling rate will override any other default selling rates set (such as those for the job’s site under site details > configuration > selling rate) when logging a job via the template. ![Image 43.png](https://cdn.document360.io/7b0221a4-2cb1-462b-9b01-b03051eb7ca3/Images/Documentation/Image%2043.png) ## Tasks In order to add tasks to a log job template, select the tasks tab of the applicable template and select the green ‘+ Add task’ button. ![Image 25.png](https://cdn.document360.io/7b0221a4-2cb1-462b-9b01-b03051eb7ca3/Images/Documentation/Image%2025%281%29.png) ![Image 26.png](https://cdn.document360.io/7b0221a4-2cb1-462b-9b01-b03051eb7ca3/Images/Documentation/Image%2026%281%29.png) Tasks need to be set up within the settings library (settings > library > tasks) before they can be assigned to log job templates. They cannot be free typed. If you do not have any tasks set up, they can be created within the settings library by selecting the green ‘quick add’ addition icon. ![Image 29.png](https://cdn.document360.io/7b0221a4-2cb1-462b-9b01-b03051eb7ca3/Images/Documentation/Image%2029%281%29.png) Once tasks are set up in the library, they can be selected from the dropdown menu to be applied to the log job template. ![Image 27.PNG](https://cdn.document360.io/7b0221a4-2cb1-462b-9b01-b03051eb7ca3/Images/Documentation/Image%2027.PNG) ![Image 28.PNG](https://cdn.document360.io/7b0221a4-2cb1-462b-9b01-b03051eb7ca3/Images/Documentation/Image%2028%281%29.PNG) There is also a ‘is mandatory' tick box which can be ticked to make the tasks mandatory against the applicable jobs.
