New updates to the Multi-Currency, Prospect Management, Asset PPM and Projects apps!! 📢
This week’s Joblogic Marketplace release brings powerful upgrades across four core Apps: Projects, Asset PPM, Prospect Management and Multi-Currency.
These enhancements are designed to improve financial clarity, quoting flexibility, and international deal management, with smarter workflows from sales through to contract execution.
Whether you're quoting a prospect, managing asset PPMs across multiple currencies or tracking variations in your projects, this release makes your processes faster, cleaner and more connected.

Multi-Currency, Prospect Management and PPM updates
1. Multi-Currency and Asset PPM’s 🌍
Our Asset PPM (Planned Preventative Maintenance) and Multi-Currency (MC) marketplace apps now support each other, giving finance and operations teams full clarity on base vs converted currency values for all key financial PPM fields, including quotes, contracts, assets and invoices.
This enhancement allows businesses working across regions or countries to confidently manage asset driven PPM contracts with clients in different currencies, while keeping their base system currency intact.
New Features Include:
A Multi-Currency toggle on the Asset PPM Quotes & Contracts pages when creating or editing
Dual currency fields throughout the workflow. Monetary values now show:
→ Base currency
→ Conversion rate/currency
→ Rate used (e.g. 1 GBP = 1.2 EUR)
- These are shown on:
→ Quote and contract headers
→ Asset pricing rows
→ Default engineer hourly rates
→ Invoice and cost listings
The currency source is linked to the system FX (Foreign exchange/conversion rate) table – It uses Joblogic’s centrally managed FX rates to automatically calculate and display accurate conversions
Live calculations and read-only values - When values are entered or updated, the converted value recalculates instantly for review. Converted values are read-only to ensure traceability and data integrity
Export Ready - Quotes and contracts display converted totals on exported documents
Role-based visibility - Permissions control who can view MC values, toggle the mode or configure the FX rate source
Why is this beneficial?
Prior to this update, Asset PPM workflows were limited to a single currency, even when working with international clients. This created friction in quoting, contract approval, and invoicing, especially for businesses trading across borders.
With Multi-Currency now embedded within the Asset PPM module:
Finance teams can provide accurate pricing to clients in their currency
Coordinators and managers can ensure costing and margin visibility
Stakeholders can trust the accuracy of FX rates and converted values
This unlocks true cross-regional PPM delivery, with clarity and control built in. 🌐💱

2. Prospect Management and PPM Quotes Integration 🔗
Multi-currency isn’t the only app that we have improved for PPM’s though. We’ve also made a new integration between the Prospect Management app and the PPM Quotes module. This is a great one for giving sales and service teams the ability to log PPM quotes directly against prospect customers streamlining the quote-to-conversion pipeline.
Previously, PPM Quotes were restricted to active customers only. Now, with this update, your team can engage prospects earlier, formalise service proposals and upgrade them to active customers only when they’re ready to commit.
New Features Include:
The ability to create PPM Quotes for Prospect Customers and Sites - You can now select a prospect in the customer/site dropdown when creating a new PPM quote
Automatic status upgrades on quote conversion - when a PPM Quote is upgraded (won/approved), the associated prospect is automatically converted to an active customer
The usual prospect validation rules apply:
→ Prospect customers cannot be used for jobs, invoicing or contracts
→ Active and suspended customers cannot be downgraded back to ‘prospect’ status
Why is this beneficial?
This enhancement closes the gap between lead generation and service quoting by allowing sales and service teams to log PPM proposals without prematurely activating a customer. It supports a cleaner pipeline, better sales forecasting and reduces the administrative back-and-forth when converting prospects into full-service clients.
By pairing Prospect Management with PPM Quotes, Joblogic now offers a more complete pre-sales workflow, all inside your existing back-office. 📈💼

Projects module updates
1. Project Variation Orders 📋
You can now mark individual jobs as ‘Project Variation Jobs’, define whether their values should add to, deduct from or exclude from the project value, and have these changes reflected in billing and audit logs automatically.
New features include:
A new “Variations” tab shows all variation jobs in one place
Mark jobs as ‘Variation Jobs’ directly from the job or project screen
Positive Variations: Add value to the project total and create invoice lines (Fixed Price only)
Negative Variations: Reduce the project value to reflect scope removal
Not Included Variations: Logged for audit purposes only – no financial impact
A ‘Project listing’ filter to show only projects with variation jobs
Smart logic for Fixed Price vs Time & Materials projects:
→ Fixed Price: Manual entry, invoice schedule updated
→ Time & Material: System-calculated from unbilled value, no schedule change
Permission controls
Full audit logs for all variation activity
Duplicate tagging prevention
Note: Please be aware that these new variation features are currently only implemented for Fixed Price Projects. We are working on adding these functions to ‘Time & Material’ Projects which will be available soon.
Why is this beneficial?
Managing project changes used to require manual edits to project values, with no clear record of what changed or why. This update introduces a structured, traceable process that helps:
Improve financial accuracy
Support audits and compliance
Simplify billing and reporting
Maintain a single source of truth for project scope changes
It’s the end of variation guesswork and the start of smarter, more accountable project management. 🔧💼




2. Fixed Amount Invoice Scheduling 💰
We’re introducing more flexibility in how you raise project invoices. Users can now choose whether to schedule invoice values as fixed amounts.
This gives teams better alignment with contract terms and clearer financial entry points at every stage of the project lifecycle.
New features include:
A new “By Amount” option allowing selection between percentage and value modes
Dynamic field adjustments depending on the selected type
Automatic validation to ensure total values match contract amounts
Why is this beneficial?
Until now, project invoice scheduling only allowed percentage-based entries. For contracts that specify exact figures, this required manual calculation. With the fixed amount billing option, project and finance teams can quote and bill with precision, helping improve clarity, compliance and ease of use. 📋🧾

3. Retention Details Per Invoice 🧾
You can now view retention details per invoice on the project invoice and application tables, allowing you to track how much is being held back at a glance.
New features include:
A new “Retention Due” column added to the project invoices/applications table
A new “Amount” column showing the full invoice value
Data is read-only, displayed in currency format
Totals are shown as part of a project-level financial summary
Why is this beneficial?
Previously, tracking singular retention values required opening individual invoices or running custom reports. Now, users can track individual withheld amounts quickly, reduce errors, and ensure contractual retention is released or withheld more easily. 🛡️💼

4. Project Audit Logging 🕵️
To improve traceability and compliance across the project lifecycle, we’re introducing audit logging for all core actions within the Projects module.
This includes everything from basic edits to invoices, milestones and project notes.
New features include:
Audit logs will now record:
Project changes (e.g. status, names, budgets)
Invoices (creation, edits, deletions)
Linked jobs (status updates, assignments)
Notes, To-Dos & Milestones (created/edited/deleted)
All logs will be:
Viewable via the System Audit log
Filterable by project ID or user
Extendable into reporting for audit trail visibility
Why is this beneficial?
Projects often involve many users over time. Without an audit trail, it’s hard to track “who changed what, and when”. These logs provide full transparency, reduce risk, and support internal quality assurance or external audits. 🔐🧾

5. Hide Profitability for Project-Linked Jobs 📉🔒
When jobs are linked to a project, their individual profit margins can be misleading, especially when invoicing is done at the project level. To help you prevent confusion, we’re introducing a permission-controlled setting to hide the profitability panel on these jobs.
New features include:
- A new permission under Settings > Staff > Business to control profitability visibility on linked jobs
Why is this beneficial?
Job-level profitability doesn’t always reflect real performance when jobs are part of a larger project. This setting allows teams to focus on project-wide metrics, while avoiding confusion or misinterpretation of individual job margins. It also ensures only authorised users can access sensitive financial data. 🔍👥

6. Missed Milestone Warnings ⚠️
Never miss a milestone again. This enhancement introduces automatic warnings if a project milestone is overdue and has open jobs linked to it.
New features include:
A warning banner against the project if milestones are missed
Red flags and exclamation icons on project timelines and planners
The milestone tab now shows missed milestones with a “Missed” tag
Redirect links to affected milestones via “View” in the warning banner
Why is this beneficial?
Missed milestones can cause delivery delays, payment issues and reporting gaps. This proactive warning system helps you catch and fix problems early before they become blockers. ⏳📅

7. Recurring Jobs Stay Linked to Projects 🔄
Previously, when a recurring job series was created inside a project, only the first job would stay linked to the project. The rest would disconnect, creating reporting headaches and workflow gaps.
That’s now fixed. All recurring jobs will remain linked to the original project, no matter how many occur or when they're completed.
**New features include: **
Project ID is retained across all recurring jobs
Recurrence setup now respects project linkage by default
Jobs appear correctly under the Project > Jobs tab
Job creation logs retain full project linkage in audit history
Why is this beneficial?
This update closes the loop between projects and recurring work, ensuring accurate tracking, costing and reporting over time. No more disconnected jobs, just one clean view of the full delivery. 📋🧰

8. Log Related Jobs Under Project Jobs 🧱
A new “Log Related Job” feature lets users create a job directly under a parent project job, making it easier to manage follow-up or extra specialist works for the project.
New features include:
A new “Log Related Job” button under the ‘Log Related Works’ tab
Pre-filled project and job details for quick entry
Related jobs show under their parent, with a clear hierarchy
Audit logs record all related job activity
Why is this beneficial?
This streamlines how field and office teams manage additional tasks within a project. By keeping them properly logged and linked, you avoid duplication, maintain clarity, and improve task-level tracking and oversight. 🧾🔗

9. Generate Multiple Retention Invoices 💷
And last up, we’ve added the ability to generate multiple retention invoices. Previously, only one retention invoice could be raised per project, which limited flexibility when invoices were split across phases. Now, you can generate multiple retention invoices, each with a custom value, tax rate and due date.
New features include:
“Add Retention Invoice” button when eligible
Dynamic calculation of available retained value
Manual entry of amount, tax rate and payment date
Validation to prevent overbilling or input errors
“Fully Invoiced” indicator when retention is complete
Why is this beneficial?
Retention management often needs more than one invoice, especially on long or multi-phase projects. This change gives finance and project teams the flexibility to bill retained funds as needed, improving cash flow and contract compliance. 📊🧾
