1. Automatic Job Form Cloning for PPM Visits

  • Managing Planned Preventive Maintenance (PPM) visits just got even easier! Now, when a PPM visit is cloned, all job forms from the original visit are automatically copied over, ensuring seamless documentation.
  • To try it out, navigate to: PPM → All PPM Contracts → Select Contract → Visits Tab → Clone Button
  • With this update, contract managers can save time, reduce manual work, and ensure that all critical forms stay intact helping to minimise errors and improve efficiency.

2. Show Only Live Contracts When Logging Jobs & Quotes

  • Next up, we’ve improved job, quote, and contract management by ensuring only live contracts appear when logging new entries.
  • When creating a job, quote, or PPM contract, you’ll now only see Customer Contracts marked as 'In Progress'.
  • Contracts that haven’t started yet or have ended will no longer appear in the dropdown.
  • This helps prevent outdated selections, improves accuracy, and keeps contract management efficient. ✅

3. Sync Job Forms Between Subcontractor and Main Contractor

  • We’re introducing a new feature that automatically syncs assigned job forms between subcontractors and main contractors, ensuring smooth collaboration and accurate documentation.
  • When a job is assigned to a subcontractor, any linked job forms will instantly appear in the Subcontractor Portal.
  • Once completed by the subcontractor’s engineer, the forms will sync back to the main contractor, ensuring seamless documentation.
  • To enable this feature, go to Settings > Subcontractor > Subcontractor Template and tick the "Assigned Forms" checkbox.
  • That’s it 🎉 With automatic syncing in place, job forms stay accurate, organised, and effortlessly up to date. Give it a try today!

4. SOR Enhancements

We’re excited to announce the next phase of our SOR updates, giving you greater flexibility and better cost management for SOR-related documentation!

New Document Template Tags for SOR

  • A fresh set of Docx tags is now available to help you display detailed SOR cost item information within your document templates:
    • @@SOR_Item_Long_Description@@
    • @@SOR_Item_Comments@@
    • @@SOR_Item_Description_With_RateSplits@@
    • @@Cost_CostPerUnit_With_RateSplits@@
    • @@Cost_SellPerUnit_With_RateSplits@@
    • @@Cost_CostPerUnit_With_RateSplits_ValueOnly@@

Back-Office Rate Splits Management

  • Back-office users can now add, edit, and manage rate splits directly within Job Costing, ensuring accurate material, labour, and subcontractor costs are accounted for in SOR jobs.
  • Navigate to Job Details > Job Cost > Add Schedule of Rates Item to view, edit, and add rate splits for the selected SOR item.
  • We’re also bringing this update to your engineers in the next mobile release, so keep an eye out for that!

5. Subcontractor Cost Approval & Synchronisation

We’re excited to introduce an improved Subcontractor Cost Approval Mechanism, giving main contractors more control over subcontractor costs while ensuring seamless synchronization between systems.

Cost Approval Control

  • A new "Cost Approval Required" setting has been added under Settings > Subcontractor details
  • When enabled, subcontractor costs must be approved before syncing to the job cost screen.
  • If disabled, costs will auto-sync as approved to the job.

Subcontractors Can Now Send Costs for Approval

  • A "Send Costs for Approval" button has been added in the Job > Costs tab.
  • Once submitted, costs cannot be modified unless rejected by the main contractor.
  • Approval statuses are clearly displayed:
    • Sent for Approval
    • Rejected by Contractor (with rejection reason)
    • Approved by Contractor

Main Contractor Review & Approval Process

  • A new "Cost(s)" tab has been added to the Subcontractor Visit screen.
  • Main contractors can:
    • View, Approve, or Reject submitted costs.
    • Provide a reason for rejection, allowing subcontractors to revise and resubmit.
  • New filters in the All Jobs screen help track cost approval status (Pending, Approved, Rejected).

Automated Cost Synchronisation with Accounting Software

  • Approved costs will now automatically sync with third-party accounting software.
  • This ensures real-time updates for accurate financial tracking and invoicing.

Invoice Payment Sync for Better Financial Tracking

  • Payment details (Submitted Date, Batch Number, Paid Date, and Paid Value) will be displayed in the Job > Subcontractor > Costs screen.

Bug fixes

This sprint, our team has tackled several issues to improve performance, fix pesky glitches, and make your experience with Joblogic even better. Here’s a rundown of what’s been fixed. 🪲

  • Remaining Allowance now displays correctly when adding recurring Non-Productive Time.
  • Non-Productive Time is now shown along the top, instead of only displaying in business hours
  • Navigation for attachments in the Customer Portal now functions correctly.
  • The conversion rate disclaimer now appears properly on Subcontractor Purchase Orders.
  • Attachment preview functionality now appears as expected.
  • Selling Rate details now display correctly.
  • Project cost discrepancies have been addressed.
  • The Forms Logbook now functions correctly.
  • Site search issues across all sites have been resolved.
  • QuickBooks sync errors with Joblogic have been resolved.
  • "Permission Denied" errors no longer appear incorrectly.

Improvements

We’ve made several improvements to enhance usability and streamline workflows in Joblogic. Check out the latest updates:

Improved Renewal Text Placement

  • When renewing a contract, the system previously added "Renewal of Contract X" at the beginning of the description, pushing vital details out of view.
  • Now, this text has been moved to the end of the description, ensuring important contract details remain front and center.

Additional Columns in Site Import Template 📋

  • The Site Import Template now includes the following extra columns, providing more flexibility when managing bulk site data:
    • SiteTypeDescription
    • SellingRateDescription
    • AccountManagerEmail

Expiry Attachments Included in Emails 📎

  • Expiry-related attachments are now automatically included in emails, ensuring that all necessary documents are sent without extra steps.

Refcom Audit by Cylinder Search & QR Code 🔍

  • Mobile users can now search by Cylinder Serial Number or scan a QR Code within the Refcom Audit process.
  • This enhancement improves search accuracy, making it faster and easier to locate specific cylinders during an audit.
