Introduction
The Quote Requests feature allows customers to submit requests for quotes directly through the Customer Portal, providing a simple and efficient way to request additional work or services.
Once submitted, quote requests are sent to the back office where they can be reviewed, accepted or rejected. Accepted requests can be converted into quotes, with key information such as assets, notes and attachments automatically carried through to streamline the quoting process.
This guide explains how to configure quote request permissions and notifications, manage incoming requests in the back office, and submit and track quote requests through the Customer Portal.
Back Office
Permissions
You can control which quote request features are available to individual Customer Portal users by navigating to Settings > Customer Portal Access.

Select the required user, then search for the Quote Request permissions.
The following permissions are available:
- Request a Quote – Allows the user to create new quote requests.
- View Quote Requests – Allows the user to view their submitted quote requests and their status.
- Cancel Quote Requests – Allows the user to cancel existing quote requests.

Email Notification Settings
You can configure email notifications to automatically inform the relevant people when quote requests are submitted, cancelled or rejected.
Navigate to Quotes > All Quote Requests > Email Notification Settings.

Select the notification you want to configure.

Click Edit to make your changes.
Here you can specify the email recipients, subject and message body.

To automatically include information from the quote request, click Insert in the bottom-right corner of the editor.
Select the required variable to insert it into the email subject or body.

Quote Requests
To view all submitted quote requests, navigate to Quotes > All Quote Requests.

Quote requests will appear with a status of Submitted. Once a request has been opened and reviewed, the status will automatically update to In Review.

From here, you can choose to Accept or Reject the quote request.

If rejecting a quote request, enter a reason for the rejection before confirming.

When accepting a quote request, select the required Quote Type (for example, Reactive, PPM, etc) and choose which information should be included in the quote:
- All Assets
- Request Notes
- Request Attachments

Click Continue to open the Log Quote screen. The information from the quote request will be automatically populated, allowing you to review and make any amendments before creating the quote.
Click Save to finalise the quote. It can then continue through your standard quote process.

Customer Portal
Creating a Quote Request
To create a quote request, first navigate to your Sites list.
Select the site you'd like to create a quote request for.

Click Create Quote Request.

The Customer and Site fields are populated automatically and cannot be edited.

Enter the details of the work in the Work Description field.

If required, click Assign Assets to select any assets related to the quote request.

Add any notes or attachments if required, then click Save.

The quote request is then sent to the back office, where it can be reviewed and converted into a quotation for further processing.
Viewing Quote Requests
To view your quote requests and check their current status, navigate to Quotes > Quote Requests.

Select a quote request to view its details.
From here, you can review the information submitted or cancel the quote request if it is no longer required.

If you choose to cancel the quote request, enter a reason for the cancellation and click the confirmation.

Once a quote has been approved, the request will be marked as Processed and will include a link to the associated quote.
